What to look for in an estimating and invoicing app for contractors
Published
Short answer
Check that the totals and tax come out right, that documents are numbered and look clean as a PDF, that an accepted estimate becomes an invoice with identical totals, and that you can back up and export your data. Understand the price model, then test with one real job before you commit.
Most contractors do not need a long feature list. They need an app that gets the numbers right, produces documents they are happy to send and does not trap their data. Use this checklist to compare any estimating and invoicing app, including ours, with the same questions. For the paperwork itself, see estimate vs invoice.
Which features matter most?
| Check | Why it matters | How to test it |
|---|---|---|
| Correct totals | A wrong total costs money or trust | Enter a job you can check on a calculator |
| Tax handling | Tax is added on top in some places and included in others | Try both ways and compare the lines and the total |
| Numbering | Unique numbers help you and your customer find a document | Create three documents and read the numbers |
| Clean PDF | The PDF is what the customer sees | Export one and open it on another device |
| Estimate to invoice | Totals should not change by accident | Convert one and compare every line |
| Private cost and margin | The customer should see prices, not your profit | Check the exported PDF for cost or margin |
| Backup and export | A lost phone should not mean lost records | Export a backup and look at the file |
What should I ask about price?
- Is it free, a one-time purchase or a subscription?
- What exactly is limited in the free version?
- What happens to my documents if I stop paying?
- Is the price per person, per month or per document?
- Can I restore a purchase on a new phone?
Write the answers down before you enter any real customer data. For more on this, read free vs paid contractor apps.
What should I ask about my data?
- Does it need an account and an internet connection?
- Where is my data stored, and who can see it?
- Can I export or back up everything, in a format I can open?
- Are backups encrypted, and if not, where should I keep them?
- What happens if I change phones or delete the app?
Customer names, addresses and prices are business records. Know where they live before you trust a tool with them.
How do I check the arithmetic in 30 minutes?
Enter this example job and compare the app with your own calculation. The 8% tax rate is only an example.
| Line | Quantity | Unit price | Amount |
|---|---|---|---|
| Labor | 12 | 60.00 | 720.00 |
| Materials | 1 | 380.00 | 380.00 |
| Discount | 1 | -50.00 | -50.00 |
| Subtotal | - | - | 1,050.00 |
| Tax added on top (8%) | - | - | 84.00 |
| Total | - | - | 1,134.00 |
Then switch the same job to prices that include tax and see how the lines change. Finally, convert the estimate to an invoice and confirm that nothing moved. If an app cannot reproduce numbers like these, do not use it for real work.
Which red flags should make me stop?
- Totals that change after you export the PDF
- No way to export or back up your own data
- Unclear limits that only show up after you have entered your work
- Claims that the app guarantees legal or tax compliance
Rules for invoices, tax wording and record keeping differ by country and trade, so no app can promise that every document fits every place. Check your local rules.
How does SiteReporta answer these questions?
SiteReporta needs no account, keeps data on your iPhone or iPad, works offline and lets you export a backup file to the Files app or another place you control. Backup files are not encrypted. An accepted estimate converts to an invoice with identical totals, and cost, profit and margin never appear in the customer's PDF.
It also has limits you should know about: it does not take payments, does not track whether an invoice was paid and does not support compound taxes. The support page lists what it does and does not do.
Frequently asked questions
What is the most important feature of an estimating and invoicing app?
Correct totals and tax, because everything else depends on them. Test with a job you can check on a calculator before you trust any app.
Do I need an app that takes payments?
Only if you want payments inside the same tool. Many contractors send a PDF with bank details and track payments themselves. SiteReporta works that way and does not take payments.
Should I worry about where my data is stored?
Yes, a little. Ask whether it needs an account, where the data lives and whether you can export it. SiteReporta keeps data on your device and has no cloud sync, so make backups.
Can an app guarantee that my invoices meet the rules where I work?
No app can promise that for every country and trade. Mandatory fields, numbering and tax wording differ, so check your local rules.
